A family-friendly experience at the ARC Forum conference at Excel London

With children welcome to attend the conference, yet no plans for full event childcare, ARC Forum wanted to ensure parents felt welcome to attend, to provide a space children to let off steam and ensure parents had an opportunity to fully participate.

We worked with ARC to provide an enetrtaining Stay & Play service for up to 30 children at a time, complete with relaxing baby room, baby change facilities and a breastfeeding area for nursing mums.

What we delivered

  • A colourful, welcoming Stay & Play area with age-appropriate toys and sensory equipment for 0-7 year olds
  • A full timetable of creative and physical activities, including:
    Arts and crafts
    Storytime and drama games
    Music and movement
    Balloon modelling and circus skills
  • Supervision of food, refreshments and children’s social and medical needs
  • A dedicated baby area for feeding and changing
  • Calm, experienced Purple People to help entertain children aged 0–7

In action

We welcomed 24 children across the three days of the event, most repeat visitors.
Both the Stay & Play area and Baby rooms were used consistently with parents very happy  with the activities and equipment.

Impact

  • Gave parents peace of mind and time to focus on conference content while attending with their children
  • Supported conference organisers in making the event inclusive and accessible
  • Enabled delegates with children to attend all three days
  • Created a welcoming, safe space that children didn’t want to leave

Nipperbout’s Stay & Play service at ARC Forum 2025 proved that even without a full event childcare service, thoughtfulness and planning can have a powerful impact on delegate satisfaction, accessibility and event success.
